Items are the essential part of SharePoint list. Although SharePoint enables end users to create, edit and delete items in a list, it doesn’t have functions like copying/moving items or documents between SharePoint lists or libraries.
List Transfer enables end users to copy/move items or documents in bulk between SharePoint lists or libraries which makes it possible to reuse items or documents among multiple SharePoint lists or libraries. In this article we will demonstrate how to copy items between SharePoint lists.
The two items in North America Branches list above are copied from Branches list. The columns are mapped automatically.
The six items in Asia Branches list above are copied from Branches list. The columns are mapped manually.
Then, let’s create another list named as Asia Branches with columns as following. Note that the column names in Asia Branches are not the same as that in the Branches list. In this list, we don’t create any items for it either. We will copy items from Branches list for it as well.
Download the trial version of List Transfer, and install it to your SharePoint server.
Navigate to the Branches list prepared above.
Select items which you want to bulk copy to North America Branches list. Here we selected the two items showing below (the Mexican branch and the Canada branch).
Click ITEMS tab, in the Copy & Move group, click Copy Items.
Then, you will be redirected to Copy Items page. In Copy Items page. There are 3 main sections:
Target: In this section, you will specify which target list or folder you want to copy selected items to. You can click Click to browse (or click the small downward triangular arrow on the right to expand the drop-down list) to choose a target list or you can enter destination URL.
Preserve Information: In this section, you can select which information you want to preserve for items in the destination. There are 3 kinds of information you can preserve: Item Permissions, Attachments and Authors and Timestamps. The first two options are checked by default.
Column Mapping: In this section, it enables you to map columns between source list and target list. You can choose to Map columns automatically (with this option checked, it only copies values with same column name and type) or Map columns manually.
In the Copy Items page, let’s configure settings as following.
In the Target section, click Click to browse (or click the small downward triangular arrow on the right to expand the drop-down list) to select the North America Branches list we prepared above.
In the Preserve Information section, keep settings as default (with Items Permissions and Attachments selected). It means that the permissions and attachments of selected item(s) will be copied along with the item(s) to the destination list.
In the Column Mapping section, select Map columns automatically option. Note that the values can only be copied if the column names and types are the same in the source list and target list. And the column names and columns types in North America Branches are just the same as that in the Branches list, so we can use the automatic mapping here.
Click Copy. Then, the following window will pop up when the copying process is completed.
Click Go To Target to go to the North America Branches list, you will find out that the two selected items have been copied successfully to this list as shown below. And the attachment has been also copied to the destination list all along.
Download the trial version of List Transfer, and install it to your SharePoint server.
