Copying and moving documents between SharePoint libraries are the main feature that List Transfer provides for users. But while copying or moving documents users might need to preserve the information of the document such as version, author and etc. List Transfer also provides help for users to configure settings for preserving that kind of information.
This article will demonstrate how to preserve information during copying or moving documents.
The version, authors and timestamps have been copied to the Documents library together with the documents itself.
Then, create the other document library named as All Documents in your SharePoint site with the same properties as that in the Support Documents.
Download the trial version of List Transfer, and install it to your SharePoint server.
Navigate to the Support Documents library prepared above.
Select documents which you want to bulk copy/move to All Documents library. Here we selected three documents as showing below (the ADIS – Quick Start, the ARB – Quick Start and the ADSS – Quick Start).
Click FILES tab, in the Copy & Move group, click Copy Documents/ Move Document on the ribbon. Here we clicked Copy Documents. The only difference between Copy and Move Documents is that, the documents will be exist in both the source list and the target list after copying document, but the documents will be only exist in the target list after Moving Documents, it will disappear from the source list.
Then, you will be redirected to Copy Documents page. In Copy Documents page. There are 3 main sections:
Target: In this section, you will specify which target list or folder you want to copy selected items to. You can click Click to browse (or click the small downward triangular arrow on the right to expand the drop-down list) to choose a target list or you can enter destination URL. Below the Specify destination, you can find an option named as overwriting existing files, with it checked, the existing files in the target library will be overwritten by the copied ones if the copied ones have been in the target library already.
Preserve Information: In this section, you can select which information you want to preserve for items in the destination. There are 3 kinds of information you can preserve: Item Permissions, Version History and Authors and Timestamps. The first option is checked by default.
Column Mapping: In this section, it enables you to map columns between source list and target list. You can choose to Map columns automatically (with this option checked, it only copies values with same column name and type) or Map columns manually.
In the Copy Documents page, let’s configure settings as following. Note that you can configure the same in Move Documents page in case you clicked Move Document in step 4.
In the Target section, click Click to browse (or click the small downward triangular arrow on the right to expand the drop-down list) to select the All Documents we prepared above. Keep other settings as default.
In the Preserve Information section, select Items Permissions, Version History and Authors and Timestamps. Leave the Erase target version history unchecked.
With Items Permissions checked the Permissions of selected items will be preserved during the copying/moving process. Note that Item Permissions will be preserved only if the document has unique permissions. Otherwise, the copied documents will inherit permissions from the target library.
With Version History checked, the document’s version history will be preserved.
With Authors and Timestamps checked, the creation and modification information (created, created by, modified and modified by) of document will be preserved.
In the Column Mapping section, select Map columns automatically option. Note that the values can only be copied if the column names and types are the same in the source list and target list. Because the column names and types in the All Documents library are just the same as that in the Support Documents library, so we can use the automatic mapping here. Otherwise, we need to map columns manually to specify which column should be mapped with which one.
Click Copy. Then, the following window will pop up when the copying process is completed.
Click Go To Target to go to the All Documents library, you will find out that the three selected documents have been copied to the library, and the versions and authors and timestamps information are preserved as that in the source library.
