How to send attachment along with the notification email?
When it comes to talking about sending attachment along with a notification email, it usually means sending the item attachment along with the notification email, or inserting an attachment and sending it with the notification email. Both actions you can accomplish with Alert Reminder Boost.
WHAT YOU'LL GET
WHAT YOU'LL NEED
The sample data we use for this case
Create a list named as Announcement from the Announcement list template on a SharePoint site, and keep all fields as default.
Send item attachment along with the notification email
-
Download the trial version of Alert Reminder Boost, and install it to your SharePoint server.
-
Navigate to the Announcemen list prepared above.
-
On the list ribbon, click Alert Reminder Settings in Settings group.
-
Click Add new alert item to create a new alert item, specify a unique title for it and select E-Mail in Delivery Method section. Keep other settings as default.
-
Under Event tab, keep all settings as default.
-
Under Message tab, specify user Cynthia Carey (br\Cynthia) as the recipient.
For the recipient, we support various ways to select recipients: Users, SharePoint groups and Active Directory groups; Users represented by Person or Group columns both in the current and external lists; Email addresses contained in the Contact list or Distribution list. You can choose whatever supported as recipient.
-
Under E-Mail Body section, select Send item attachments as attachments in the notification e-mail option.
This option will enable sending attachment along with the notification email if the item contains any attachment.
-
Leave other settings as default, and click OK to save settings for the alert item.
-
Now, let’s create a new item in the list and insert an attachment as following.
-
Then, the recipient Cynthia Carey will receive a notification email as shown below, the attachment will be sent along with the notification email notifying that a new item with an attachment has been created.
Insert attachments and send with notification email
If you want to send a specified attachment (not item attachment) as a part of the notification email, you will need the Upload attachments manually feature to achieve this. This feature is very useful when you need to contain universal attachment (such as vCard) for every alert email, it frees you from inserting attachment for each item. Let’s reference the Announcement list we created above again as an example.
-
Repeat the first 5 steps we did for sending item attachment along with the notification email.
-
Under E-Mail Body section, select both Send item attachments as attachments in the notification e-mail and Upload attachments manually options, then click Choose attachments to upload a file. Here I choose to upload a business card, you can upload whatever needed.
-
Leave other settings as default, and click OK to save settings for the alert item.
-
Now, let’s create a new item in the list without inserting any attachment to trigger the alert item we created at the very first beginning.
-
Then, the recipient Cynthia Carey will receive a notification email as following, the uploaded attachment will be sent along with every notification email.
